Encoré planned a series of events for Omni Pain and Glass including an event for their Contractors, a VIP Event, and an event for family and friends and finally an appreciation event for Omni employees.
Contractor Event
Planning
• Created decor.
• Worked with wife of company president on invitation wording and design.
• Met with florist to determine arrangements, using selected color scheme.
• Met with caterer and selected menu.
• Arranged bar service.
• Planned placement of food, beverage, entertainment etc.
Project Management
• Ordered two ice sculptures of Omni company logo for each evening event.
• Booked Jazz band and vocalist.
• Ordered water bottles and cookies with Omni Logo.
• Arranged linen, tables, chairs and highboys rentals.
• Found resource to have mirror squares made with logos for table decorations.
• Purchased candles and glass beads to highlight logo mirrors.
• Arranged for hand-made pottery mugs with Omni logo filled with chocolates and nuts for guest gifts. (Food-grade bags also required).
• Met with top management to gather information to write tour guide.
• Created tour guide and met with project managers to do a walk-through.
VIP Event
(additional tasks)
• Arranged ribbon cutting with Oshkosh Chamber of Commerce.
• Facilitated TV coverage of the event.
• Created the agenda to accommodate speeches by the Presidents of Omni and Miron Construction Company.
• Provided sound system and microphone for speeches.
Family and Friends Event
• Duties were identical to the Contractor Event with take down and clean up of venue after.
Employee Appreciation Event
Planning (Coordinated this event with Omni CFO)
• Created agenda for Omni President to speak and say a prayer before dinner.
• Determined dining areas, craft and paint areas, and traffic flow.
• Met with florist for custom-designed family-friendly floral arrangement with crayons for dining area. Also had Bucky Badger arrangements created for a break room where Wisconsin Badgers football game was on TV.
• Ordered banquet tables, chairs and tablecloths.
• Ordered placemats for tabletops for kids to draw on.
• Determined menu to go with Pig Roast including special buffet for kids.
• Planned and arranged bar and soda set up.
• Arranged giveaway items and contest prizes.
Project management
• Hired an interactive DJ to do musical games with kids and adults.
• Located and ordered painting totes and hats for paint booth.
• Helped facilitate craft area, decorating mirrors.
• Organized hayride and scavenger hunt for older kids and project managers.
• Coordinated area for mini tractor pull and rides.
• Set and up and take down.
Outcome: Each group feted at these events left feeling very appreciated and special. Many of the guests expressed that to the company and to us. The employee event especially was appreciated with many of the families saying it was the best company party ever. The employees who usually were put in charge of planning events such as this were extremely grateful to be able to relax and enjoy each event instead of being stressed out with the responsibility of it.
